Position summary

The Stakeholder Engagement & Referral Coordinator serves as the primary liaison between the Legal Aid Society (LAS) and key justice-sector stakeholders to strengthen referral pathways, enhance institutional collaboration, and increase access to legal aid services.

The incumbent proactively builds and maintains relationships with law enforcement agencies, courts, medico-legal institutions, government departments, and other relevant partners to facilitate referrals of vulnerable individuals requiring legal assistance.

The role also supports stakeholder engagement through regular institutional visits, meetings, networking events, awareness sessions, and institutional goodwill activities, while ensuring effective coordination between external stakeholders and LAS's internal teams.

Key responsibilities

1. Stakeholder Relationship Management

  • Build and maintain professional relationships with key government and justice-sector stakeholders, including ARCCs, police units, courts, medico-legal officers, and protection and welfare departments.

  • Serve as LAS's focal person for day-to-day coordination with assigned stakeholders.

  • Conduct regular institutional visits and maintain consistent engagement with key partners.

  • Identify new stakeholders and opportunities for institutional collaboration.

  • Strengthen LAS's institutional relationships and goodwill across the assigned stakeholder network.

2. Client Referral Development

  • Establish and strengthen referral mechanisms with partner institutions.

  • Encourage relevant stakeholders to refer eligible clients to LAS for legal aid and related services.

  • Track referral sources and maintain updated referral records.

  • Follow up on pending referrals and coordinate with internal legal teams to ensure referred clients receive timely services.

  • Identify gaps in referral pathways and recommend practical improvements.

3. Stakeholder Engagement

  • Organize courtesy meetings and coordinate stakeholder participation in LAS seminars, trainings, consultations, and awareness campaigns.

  • Facilitate invitations and stakeholder participation in LAS activities.

  • Coordinate the distribution of approved appreciation materials and other institutional goodwill initiatives.

  • Support activities designed to strengthen LAS's visibility and relationships with external partners.

  • Maintain regular communication and follow-up with stakeholders following meetings and engagements.

4. Networking & Representation

  • Represent LAS at meetings, conferences, stakeholder forums, workshops, and other external engagements as assigned.

  • Deliver presentations and provide information about LAS services and programmes where required.

  • Promote LAS programmes and legal aid services among relevant stakeholders.

  • Identify emerging stakeholders and institutions requiring engagement.

  • Build LAS's visibility and institutional presence within the justice sector.

5. Internal Coordination

  • Coordinate closely with Legal Teams, Program Teams, Communications, Monitoring & Evaluation, and Finance & Administration.

  • Facilitate smooth communication and information flow between external stakeholders and LAS.

  • Coordinate internal follow-ups arising from stakeholder meetings and engagements.

  • Support resolution of operational coordination issues involving external stakeholders.

  • Ensure relevant stakeholder information and commitments are communicated to the appropriate internal teams.

6. Data Management & Reporting

  • Maintain an updated stakeholder database and referral tracking records.

  • Record stakeholder meetings, institutional visits, engagement outcomes, and follow-up actions.

  • Maintain accurate records of referrals, referral sources, and referral outcomes.

  • Prepare monthly stakeholder engagement reports.

  • Prepare quarterly relationship analysis reports highlighting engagement trends, referral patterns, and areas requiring management attention.

  • Use available data to identify opportunities for strengthening stakeholder relationships and referral pathways.

7. Event Support

  • Assist in planning and coordinating stakeholder meetings and engagement activities.

  • Coordinate logistics for stakeholder events, meetings, seminars, trainings, and consultations.

  • Support protocol arrangements during official visits and stakeholder engagements.

  • Maintain attendance records and relevant documentation.

  • Assist in organizing networking sessions and other institutional engagement activities.

8. Compliance & Safeguarding

  • Ensure all stakeholder engagements comply with LAS policies, safeguarding standards, donor requirements, and applicable laws.

  • Maintain confidentiality of client, referral, and stakeholder information.

  • Adhere to ethical standards and anti-corruption requirements in all external engagements.

  • Ensure professional conduct and appropriate representation of LAS during all stakeholder interactions.

  • Report any relevant safeguarding, compliance, or ethical concerns through appropriate organizational channels.

Requirements

Education

  • Bachelor's degree in Social Sciences, Law, Public Administration, Business Administration, International Relations, Development Studies, or a related field.

  • A Master's degree will be an added advantage.

Experience

  • 3–5 years of experience in stakeholder engagement, partnership development, outreach, community mobilization, government liaison, or business development.

  • Experience working with government departments, police, courts, health institutions, or development organizations is highly desirable.

  • Experience in the legal aid, justice, governance, human rights, or development sector is preferred.

Age Preference:

25–35 years, preferably a dynamic and energetic professional with strong interpersonal and stakeholder engagement skills.

Reporting Accuracy: Complete and up-to-date stakeholder databases, referral records, and timely submission of required reports.


WORKING CONDITIONS

  • Frequent travel within assigned districts is expected.

  • Regular interaction with senior government officials, justice-sector institutions, and other external stakeholders.

  • Field visits may include police stations, courts, hospitals, shelters, government offices, and other relevant institutions.

  • Occasional evening or weekend work may be required to support stakeholder events and engagement activities.

  • The role requires professional representation of LAS in diverse institutional and community settings.

AI & DIGITAL COMPETENCIES

The incumbent is expected to leverage digital tools to improve efficiency and stakeholder management.

This includes using AI-powered tools such as Microsoft Copilot, ChatGPT, Claude, or other approved organizational AI tools to:

  • Draft professional correspondence and stakeholder communications.

  • Prepare meeting summaries and follow-up notes.

  • Support report writing and documentation.

  • Conduct stakeholder mapping and analysis.

  • Develop engagement plans and communication materials.

  • Maintain and organize digital stakeholder databases and referral trackers.

  • Analyse stakeholder engagement and referral trends.

  • Support dashboarding and data visualization where available.
