About the Position

We are seeking a qualified and experienced Senior Finance Officer to support the Finance Department in ensuring effective financial management, accurate accounting, timely financial reporting, and compliance with organizational policies and donor requirements.

The Senior Finance Officer will work closely with the Finance Manager and relevant programme and support teams to ensure that financial transactions, records, reports, and supporting documentation are accurate, complete, and maintained in accordance with organizational procedures and applicable donor requirements.

The position will also support the Finance Manager in the preparation and coordination of donor financial reporting, budget monitoring, financial analysis, and other finance-related deliverables.

Key Responsibilities

Financial Management & Accounting

  • Maintain accurate and up-to-date financial records, books of accounts, and supporting documentation.
  • Review financial transactions, payment requests, vouchers, invoices, and supporting documents to ensure accuracy and compliance with approved procedures.
  • Assist in processing payments, advances, settlements, and other financial transactions.
  • Conduct regular review and reconciliation of cash, bank, advances, and other relevant accounts.
  • Ensure proper coding and allocation of expenses against projects, budgets, and appropriate accounting codes.
  • Monitor outstanding advances and ensure timely settlement in coordination with relevant staff.
  • Support monthly and periodic financial closing processes.
  • Assist in identifying and resolving financial discrepancies and accounting issues.

Budget Monitoring & Financial Analysis

  • Support the Finance Manager in monitoring project and departmental budgets against actual expenditures.
  • Prepare budget-versus-actual expenditure reports and highlight significant variances.
  • Provide financial information and analysis to support programme and management decision-making.
  • Assist in forecasting project expenditures and identifying potential budgetary issues.
  • Ensure expenditures are in line with approved budgets, donor requirements, and organizational policies.

Donor Financial Reporting

  • Support the Finance Manager in the preparation of donor financial reports, financial statements, and other donor-required financial information.
  • Compile, verify, and reconcile financial data required for donor reporting.
  • Coordinate with programme and finance teams to ensure timely availability of supporting documentation for donor reports.
  • Assist in reviewing project expenditures and supporting documents against approved donor budgets and agreements.
  • Facilitate the preparation of financial schedules and supporting documentation required for donor reporting and audits.
  • Maintain organized financial records and documentation to ensure audit and donor-reporting readiness.

Compliance, Audit & Internal Controls

  • Ensure compliance with organizational financial policies, procedures, donor regulations, and applicable statutory requirements.
  • Support internal and external audits by providing accurate financial records and supporting documentation.
  • Assist in strengthening internal financial controls and identifying potential financial risks.
  • Ensure proper filing and maintenance of financial documents for audit and reporting purposes.
  • Immediately flag any financial irregularities, control weaknesses, or compliance concerns to the Finance Manager.

Coordination & Support

  • Coordinate with programme, procurement, administration, and other relevant departments on finance-related matters.
  • Provide financial guidance to programme and support staff on documentation, budget utilization, and financial procedures.
  • Support the Finance Manager in preparing management reports and financial updates.
  • Assist in financial planning, budgeting, and other assignments as required by the Finance Manager.
  • Perform any other finance-related duties assigned by the Finance Manager.

PSEA, Safeguarding & Code of Conduct

  • Comply with the organization's Protection from Sexual Exploitation and Abuse (PSEA), Safeguarding, Code of Conduct, Anti-Harassment, and other relevant policies.
  • Maintain professional conduct and ensure respectful and ethical behaviour in all interactions with colleagues, partners, beneficiaries, and other stakeholders.
  • Report any suspected safeguarding, PSEA, fraud, financial misconduct, or other policy violations through the appropriate organizational reporting mechanisms.
  • Ensure confidentiality and responsible handling of financial and organizational information.

Qualifications & Experience

  • Bachelor’s degree in Finance, Accounting, Commerce, Business Administration, or a related field. Professional accounting qualification (ACCA, CA, CMA, or equivalent) will be an advantage.
  • Minimum 5 years of relevant professional experience in finance and accounting, preferably with NGOs, INGOs, development organizations, or donor-funded projects.
  • Demonstrated experience in financial reporting, budgeting, reconciliations, and financial controls.
  • Experience in supporting donor financial reporting and project financial management will be highly desirable.
  • Strong knowledge of accounting principles, financial procedures, and internal controls.
  • Good working knowledge of MS Excel and accounting/financial management systems.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to work under pressure and meet tight reporting deadlines.
  • Excellent communication and coordination skills.

Reporting Line

The Senior Finance Officer will report directly to the Finance Manager and will work closely with programme, operations, procurement, and other relevant departments to ensure effective financial management and timely reporting.
