Purpose

The Information Management / Data Officer is responsible for the management, quality, security, consolidation, and analysis of project data across PARWA-ICT locations. The position ensures that beneficiary information, PCM records, CRM data, CBP activities, and protection monitoring data are accurately captured, maintained, and reported in accordance with organisational and donor requirements.

 

The position supports programme monitoring, reporting, evidence-based decision-making, and secure management of sensitive beneficiary information.

Key Responsibilities

Information & Data Management

  • Establish and maintain project databases, data collection tools, trackers, and information management systems.
  • Manage and consolidate data received from all project locations, including CBP, PCM, CRM/AAP, referrals, and protection monitoring activities.
  • Maintain required beneficiary registration records and ensure timely updating of relevant donor systems.
  • Ensure data is appropriately disaggregated by relevant demographic and programme categories.
  • Maintain organised electronic records and ensure appropriate version control, accessibility, and retrieval of project data.
  • Coordinate with field teams to address missing, incomplete, inconsistent, or delayed data.
  • The project requires beneficiary registration to remain updated in line with implementation progress and includes structured data collection through FGDs, KIIs and household surveys.

Data Quality, Analysis & Reporting

  • Conduct regular data quality checks and verify completeness, consistency, accuracy, and timeliness of project information.
  • Consolidate activity and beneficiary data and generate summaries, indicator tables, dashboards, and other analytical outputs as required.
  • Support tracking of project indicators, targets, implementation progress, and service delivery trends.
  • Provide accurate data inputs for monthly, periodic, and final project reports.
  • Identify data trends, gaps, inconsistencies, and emerging protection concerns and flag them to the Project Manager and relevant staff.
  • Support data reconciliation and verification during donor reporting, monitoring visits, audits, and reviews.

 

Data Collection & Field Support

  • Develop, configure, and maintain digital data collection tools, including KOBO Toolbox or other approved platforms.
  • Support data collection for protection monitoring, assessments, FGDs, KIIs, household surveys, and other approved project exercises.
  • Provide guidance and orientation to field staff on data collection tools, data-entry standards, coding, and documentation requirements.
  • Coordinate with Field Coordinators and relevant project staff to ensure timely submission of required information.
  • Troubleshoot routine data-entry and information-management issues and escalate technical issues where required.

Data Protection & Confidentiality

  • Ensure beneficiary, case management, CRM, and other sensitive information is stored securely and accessed only by authorised personnel.
  • Maintain appropriate access controls, secure filing, backups, and data-sharing practices.
  • Ensure personal information is collected, processed, stored, and shared in accordance with informed consent, confidentiality, organisational data-protection requirements, and donor protocols.
  • Immediately report suspected data breaches, unauthorised access, loss of information, or other data-protection concerns through established channels.

 

Coordination, Compliance & Safeguarding

  • Coordinate closely with the Project Manager, Field Coordinators, and other relevant project personnel on data and reporting requirements.
  • Support preparation of data required for management reviews, programme planning, donor monitoring, and decision-making.
  • Ensure information-management processes comply with organisational policies, donor requirements, and approved project procedures.
  • Comply with Safeguarding, PSEAH, confidentiality, Do No Harm, data protection, and Code of Conduct requirements.

Other Duties

  • Perform any other duties related to the position, as reasonably assigned by the Supervisor, in line with organisational policies and operational requirements.

Qualifications & Experience

  • Preferably Bachelor’s degree in Information Management, Computer Science, Statistics, Data Science, Social Sciences, or a related field.
  • Minimum 2 years of relevant experience in information management, data management, programme data, or related functions, preferably within the humanitarian or development sector.
  • Experience with digital data collection platforms such as KOBO Toolbox and management of databases or beneficiary information systems.
  • Strong proficiency in Microsoft Excel and experience developing trackers, data summaries, dashboards, or analytical reports.
  • Experience in data quality assurance, data consolidation, verification, and reporting.
  • Understanding of confidentiality, data protection, informed consent, and responsible management of sensitive information.
  • Strong analytical, organisational, problem-solving, and documentation skills.
  • Proficiency in English and Urdu.
