Aga Khan Health Service, Pakistan, is looking for competent Procurement Assistant/Officer for its Central Office, Karachi.

1. Position Summary

The Procurement Officer will support efficient, transparent, and cost-effective procurement and logistics operations under the GAVI Project. The incumbent will facilitate cross-functional coordination to ensure uninterrupted supply of operational (OPEX) items, optimize procurement processes, strengthen supplier relationships, and ensure compliance with organizational policies and donor requirements.

The role contributes to institutional objectives through improved turnaround time, cost control, documentation compliance, and environmentally responsible supply chain practices.

2. Key Roles and Responsibilities

A. Procurement & Sourcing

  • Execute procurement of OPEX items in accordance with organizational policies and donor guidelines.
  • Obtain, analyze, and evaluate quotations to recommend cost-effective and technically compliant purchasing decisions.
  • Conduct market assessments to identify competitive suppliers and innovative product solutions.
  • Maintain updated supplier database and ensure vendor prequalification where required.

B. Supplier Relationship Management

  • Liaise with suppliers to build strategic and ethical business relationships.
  • Monitor supplier performance (quality, price, delivery timelines).
  • Resolve operational issues and support contract compliance.
  • Keep abreast of market trends, pricing fluctuations, and new product introductions.

C. Process Optimization

  • Monitor and improve Purchase Order (PO) turnaround time.
  • Ensure compliance with procurement cycle timelines.
  • Strengthen internal coordination with user departments for demand planning and forecasting.
  • Develop and utilize Excel-based tools/models for tracking procurement performance and cost savings.

D. Documentation & Compliance

  • Ensure complete and accurate documentation of procurement transactions.
  • Maintain audit-ready procurement files in line with internal controls and donor compliance.
  • Utilize ERP system for purchase requisitions, purchase orders, GRNs, and invoice processing.

E. Logistics & Distribution Management

  • Plan and coordinate transportation of goods from Karachi to project locations.
  • Optimize vehicle utilization to minimize warehousing and inventory carrying costs.
  • Ensure adequate truckload planning to reduce freight cost and carbon footprint.
  • Monitor dispatch schedules and delivery confirmations.

F. Financial & Invoice Control

  • Verify supplier invoices against purchase orders and goods received notes.
  • Track payments and coordinate with finance department for timely settlements.
  • Maintain payment tracking dashboards.

G. Environmental & Sustainability Responsibilities

  • Identify supply chain activities with environmental impact (transportation, packaging, sourcing).
  • Propose eco-friendly procurement alternatives and optimized transport planning.
  • Reduce paper-based processes through ERP utilization.
  • Incorporate sustainability targets within individual work plans.

H. Coordination & Reporting

  • Reports to: Senior Manager Supply Chain Manager
  • Coordinates with: Finance Department, Project Teams, Warehouse Staff, Vendors, and Regional Offices.
  • Supports institutional procurement planning and reporting requirements.

3. Required Qualifications & Experience

  • Bachelor’s degree in Commerce, Supply Chain, Business Administration, or relevant field.
  • Minimum 1-3 years of relevant experience in procurement and logistics.
  • Familiarity with ERP systems.
  • Strong proficiency in Microsoft Excel (data analysis, dashboards, functional models).
  • Knowledge of procurement compliance and documentation standards.
  • Strong communication, negotiation, and analytical skills.
