Position Objective: An International NGO is looking for a qualified and moticated Log & ICT Associate who can provide logistics support to the programs and participate in the proper functioning of the mission with regard to the use of information technologies

Relevant Experience: Master's Degree in Logistics, Business, IT or other related field, Minimum 03 years of relevant experience OR Bachelor's degree in Logistics, Business, IT or other related field with minimum 04 years of relevant experience

Job Description:
Mission 1 : Provide logistics support to the programs

• Support requesters in the development of their purchase requests and stock release orders;
• Provide technical support to PMs in the development of the terms of reference;
• Keep the different departments informed about the processing of their orders at coordination level;
• Monitor requests with the Logistics Team;
• Ensure proper functioning of supplies in Capital;
• Adhere to Organizational procedures at every stage of the supply chain;
• Support programs in their various technical logistics activities, as needed;
  • Ensure deliveries to programmes and departments as well as quality control;
  • Ensure that all supply chain documents are archived according to the Kit Log procedures;
  • Monitor stock management (storage conditions, reports, expiry dates) and stock movements related to supplies and deliveries to the field.

 Mission 2 : Ensure the proper functioning of the base's fleet

• Develop vehicle schedules based on program needs;
• Prepare the planning of the drivers under his responsibility according to the number of vehicles to be covered, and update this planning according to the evolution of the requests or the constraints;
• Prepare (administrative documents and loading) the vehicle's movements off-base;
• Ensure communication with the base staff on planned maintenance and inherent malfunctions.
• Monitor the fuel consumption of the fleet;

 Mission 3 : Ensure the maintenance and follow-up of the facilities

• Ensure that the condition of the facilities is checked at regular intervals;
• Supervise small repairs / rehabilitations;
• Report on the need for major rehabilitation;
• Report the needs for furniture/small equipment;
• Ensure the supply of water and energy to all facilities required for the operation of the base and the living environment;
• Participate in the monitoring the contract's management of facilities.

 Mission 4 : Reporting

• Participate in the production of a complete monthly logistics report

 Mission 5: Manage the mission's computer fleet

• Ensure compliance with ICT standards on workstations (kitlog);
• Ensure compliance with the operating rules of the antivirus, its update on the workstations, its monitoring;
• Configure the backups on the workstations and ensure that they are carried out in compliance with the standards and the backup policy;
• Ensure the maintenance of computers and check daily / monthly that preventive and corrective maintenance tasks have been carried out;
• Manage equipment assignments and all related documents;
• Monitor the repair and movement of equipment;
• Raise the needs to his/her manager;
• Report to the hierarchy any problem related to the management of equipment;
• Ensure the follow-up of any external service providers (maintenance and repair services, etc.).

 Mission 6: Manage the ICT Infrastructure

• Install and maintain the local networks of the mission according to the standards (kitlog);
• Check that network equipment is working properly;
• Supervise the data backup system (backup policy);
• Ensure the capitalization of the technical documentation of the network, the internet connection in order to obtain a detailed mapping;
  • Carry out regular field visits.

 Mission 7: Ensure user support & trainings

• Train users in the proper use of ICT resources, the ICT basics and compliance with security rules upon arrival and at regular intervals;
• Provide users with training on equipment and applications;
• Respond to daily technical support requests;
• Participate in the capitalization of data and procedures related to the use of computer and network resources and ensure their dissemination;
• Troubleshoot common user issues;
• Provide software support to users for information and email sharing;
• Report the problems encountered and the solutions provided to the manager and team members.
• Treat all users in a respectful and fair manner, in accordance with organization’s code of conduct and policies (gender, safeguarding, etc.).

 Mission 8: Manage the telecommunication means (internet, telecommunication and premises)

• Ensure the functioning and monitoring of the means of communication on the mission;
• Carry out regular tests on the use of these means;
• Ensure the follow-up of local telecommunications providers (Internet, fixed and mobile telephony, etc.) and the rationalization of associated costs;
• Ensure the technological watch in terms of internet connection and means of telecommunications.
