Position Objective: The position will support the HR Manager in Recruitment, and documentation of Staff Personal Files. HR Assistant ensures smooth day-to-day operations by performing minimal but vital duties that contribute to efficient HR processes and staff satisfaction.
Relevant Experience: Minimum Bachelor's degree in relevant field (Major HR) with 02 years overall experience and 1 year in relevant field in development sector
Job Description:
Mission 1: Support in Recruitments.
The HR Assistant is responsible for:
- Schedule test and interviews as per the guidelines in the Recruitment and ensure transparency in the process.
- Prepare the comparative sheet and share with panel members for their validation.
- Prepare the job offer and share with HR manager for review and validation.
- Ensure timely reference checks of the selected candidates and inform HR Manager of the discrepancies, if any.
- Communicate the final results of the recruitment process to the candidates, both selected and regretted.
- Ensure that the recruitment tracker is constantly updated.
Mission 2: Staff Onboarding.
The HR Assistant is responsible for:
- Coordinate with relevant departments and ensure that on boarding requirements for the new recruit are done including but not limited to ensuring logistical arrangements (workstation and stationary) as well as IT arrangement(Laptop, email ID, relevant access to ACF systems)
- Make sure that new joiner attend all the orientation sessions.
Mission 3: Personal File Management.
The HR Assistant is responsible for:
- Prepare the personnel files and ensure all personnel files are complete and kept properly as per checklist.
- Prepare and maintain contract management tracker for the staff and ensure timely steps are taken to cater to the needs of contract changes, if any.
- Ensure proper scanning of personal files and maintain secure, organized records.
- Any other responsibilities assigned by the HR Manager for smoothly running the HR function
Mission 4: Leave & absence Management
The HR Assistant is responsible for:
- Ensure updating leaves tracker in HOMERE as per procedure
- Collection & maintenance of approved leave forms
Mission 5: Supporting Engagement, Building Connections
The HR Assistant is responsible for:
- Assist HR Manager in planning and organizing staff engagement events.
- Support communication with staff to ensure participation and clarity.
- Contribute to creating a positive and collaborative workplace culture.
Mission 6: Ensure compliance with ACFs gender equality, child protection sensitivity and Safeguarding policies
The HR Assistant is responsible for:
- Read and ensure a full understanding of ACFs Gender, Child Protection and other safeguarding policies
- Implement all work related activities with a gender, inclusion and child protection lens
- Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability
Specific skills needed to perform the function
- Good in English, reading writing and speaking and/or local language of the program implementation area
- Proficiency in HR software—particularly application such as HOMERE—will be an asset to the role.

- Ability to handle stress and pressure
